** Cover letter required for all positions and optional for facilities, campus services, and hospitality positions unless otherwise specified.Job Description SummaryUnder limited supervision, performs a variety of duties including organizing and coordinating all administrative functions in assisting interdisciplinary programs (American Ethnic Studies, Arabic, Cultural Heritage and Preservation, Health Policy and Administration, Hindi-Urdu, Interdisciplinary Humanities, Latin American and Latino Studies, Linguistics, Medieval and Early Modern Studies, and Middle East and South Asia Studies), and the URECA Center. This position also provides periodic administrative assistance to departments in the College depending on need.Job Description

Essential Functions:

  • Greets visitors to the office in a pleasant and professional manner, answers, places, directs phone calls, coordinates and monitors conference calls, takes messages and replies to questions regarding programs, office procedures, and policies.
  • Assists program directors in coordinating all administrative functions of their programs.
  • Coordinates all program minors, including the undergraduate advising and registration process; reviews transcripts of minors to ensure completion of degree requirements; updates program handbooks, website, list of courses; responds to queries from all students and/or directs students to correct person for information.
  • Maintains and analyzes all program funds; tracks and monitors expenses; reconciles accounts monthly; pays bills and generally keeps track of program finances; identifies needs and assists in creation of annual budget and capital requests.
  • Manages classroom usage through EMS (room scheduling system) and assists with maintaining classroom space and technology.
  • Responds to administrative needs of faculty members such as classroom assignments, photocopying, textbook purchases and desk copy requests, travel arrangements and reimbursement forms, transcription, preparing grant applications and publications, and helping produce and update program websites and newsletters.
  • Serves as the primary liaison between the programs and all other units on campus.
  • Assists with all processes related to faculty (e.g. recruitment/on-boarding, leaves, fellowships, tenure and promotion, exits.)
  • Assists in planning, coordinating, and promoting departmental events, meetings, and activities.
  • Enters courses into Banner and provides course information, such as FYS offerings and Undergraduate Bulletin updates.
  • Tracks and monitors news clips about programs to be included in annual reports.
  • Assists with website updates and maintenance.
  • Assists with other administrative needs and tasks across the College when necessary.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus one to three years related experience, or an equivalent combination of education and experience.
  • General knowledge of office management procedures and techniques.
  • General knowledge of WFU budget system and financial and accounting procedures.
  • Ability to demonstrate effective communication skills both verbally and in writing.
  • Proficiency in Microsoft Office including Word, Excel, Internet, PowerPoint, database programs, and other software.
  • Ability to operate peripheral office equipment (e.g. digital camera, scanner).
  • Ability to maintain confidentiality of records and information.
  • Ability to organize office workflow and prioritize work assignments.
  • Accuracy and attention to detail.
  • Ability to interact with faculty, staff, and administrators with diverse backgrounds.
  • Ability to work occasional evenings and weekends as required.
  • Ability to update skills on a continual basis.

Preferred Education, Knowledge, Skills, Abilities:

  • Bachelor's degree with three to five years of related experience or an equivalent combination of education and experience.
