SUMMARY

The Accounting Technician supports the Chickasaw Nation Industries Corporate Accounting/Finance Department by performing specialized administrative and technical level accounting activities. This position provides support for the Accounting Team in monthly closing and preparation of financial reports including completion of account reconciliations with supervision, entering journal entries, entering vouchers and entering invoices as well as filing out regulatory required documents. This position assists in the preparation, recording and review of financial and accounting information.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Takes direction from Accountants and Managers/Supervisors in addition to their direct supervisor.

Follows all CNI policies and operating procedures and adheres to all closing deadlines.

Helps provide research to inquiries received from a variety of sources. Works with team to research various compliance related issues. May work closely with other departments and/or vendors in execution of daily duties.

Responsible to always provide superior customer service.

Assists in all areas of Finance, as needed.

This position assists in a variety of activities to successfully support the full life cycle workflow of contract and commercial accounting.

Follows and helps to maintain desktop procedures, document control, and related records management.

Assists in maintenance of the Service Level Agreement to ensure up-to-date accuracy.

Proactively stays current and up to date on assigned CNI email account.

Takes initiative to prioritize work and to meet all specified deadlines.

Serves as a departmental backup and assists others within the department on an as needed basis.

Provides data, as requested, for external auditors.

Assists with unclaimed property compliance matters.

This position may be assigned to work specifically in Treasury, General Accounting, or Accounts Payable.

Treasury specific duties include:

  • Performing a variety of tasks such as preparing bank reconciliations, processing payment requests, monitoring cash flow, and analyzing bank fees.
  • Monitors bank balances, and performs daily reconciliation of accounts, which includes review of positive pay transactions and posting of deposits.
  • Tracks and analyzes bank fees, maintains files and performs miscellaneous bank research.
  • Research and processes payments, refunds, ACH profile setups, non-sufficient funds checks and adjustments. Manages stale dated checks.
  • Assists with creation of new bank accounts and obtains required signatures for bank signature cards.

General Accounting specific duties include:
  • Performs assigned account reconciliations and sub ledger maintenance under supervision.
  • Reviews billing to general ledger (GL checks) and provides backup and support assistance to billing department.
  • Assists in providing general ledger coding for expenses, project costing and billing.
  • Assists in the examination, classification, recording and processing financial and purchase card transactions, obligations, accruals and payments concerning services, supplies and materials.
  • Assists with workforce assignment and project setup.
  • Populates assigned tax returns and files.
  • Assists in preparation of journal entries, allocations, revenue and eliminations and posts to automated general ledger system.
  • Maintains updated and proper file documentation for the Defense Contract Audit Agency (DCAA), external auditors, as well as for internal audits.
  • Assists with contract close out functions including billings and true up calculations.

Accounts Payable specific duties include:
  • Ensuring the efficient and timely payment of goods and services.
  • Receives vouchers via mail or electronically. Obtains necessary approvals for voucher processing.
  • Works directly with vendors and CNI representatives to resolve voucher issues.
  • Obtains invoice approvals based on ISO procurement work instructions.
  • Provides weekly forecasting reports of all outstanding vouchers.
  • Examines all expense reports and subcontractor travel expenses to ensure accuracy and compliance with Federal Travel Regulations and CNI travel policy.
  • Works with Accounts Receivable Department to ensure accuracy related to direct billable costs from vendors. Provides copies of related invoices.
  • Assists with annual 1099 reporting.
  • Works cooperatively with the Accounts Payable team to help manage the department email account for receiving electronic invoices.

Responsible for aiding in own self-development by being available and receptive to any training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION/EXPERIENCE REQUIRED

Must be a High School graduate and have relevant accounting experience as specified below, or equivalent combination of education / experience. Specialized experience, skills, knowledge, training or certifications may be considered in lieu of degree requirement. Government contracting experience a plus.

Accounting Technician I - Minimum of 1-year relevant experience

Employees in this role provide a basic level of support.

Accounting Technician II - Minimum of 3 years relevant experience

Employees in this role are operational in all the primary responsibilities of the job.

Accounting Technician III - Minimum of 5 years relevant experience

Employees in this role can perform all duties of the job at an advanced level.

Accounting Technician IV - Minimum of 8 years relevant experience

Employees in this role can perform complex tasks and to determine the proper course of action. At this level, assigned responsibilities may include tasks such as training other team members.

Accounting Technician V - Minimum of 10 years relevant experience

Employees in this role have obtained mastery in all aspects of the job and may serve in a lead capacity. Assigned responsibilities include primary duties as outlined in Levels I through IV and may include design and maintenance of accounting technician processes.

CERTIFICATES / LICENSES / REGISTRATION

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Operational knowledge of standard office and accounting principles, practices and procedures.

Working knowledge of various accounting processes with ability to analyze financial documents and reconcile accounts.

Working knowledge of accounting records management and filing processes.

Skilled proficiency in the use of computers and Microsoft Office Suite (i.e., Word, Excel, Outlook, PowerPoint, etc.) with ability to quickly grasp specialized automated systems.

Proficient in the use of standard office equipment such as computers, 10-key adding machines / calculators, copiers, fax machines, telephone systems and office automation systems.

Organized and detail-oriented with ability to plan and accomplish goals.

Excellent verbal and written communications skills.

Excellent customer service skills with ability to represent company in a positive and competent manner.

Solid organization skills relevant to carrying out day-to-day responsibilities with ability to manage multiple priorities.

Extremely detail-oriented with ability to quickly grasp business needs and issues.

Ability to work both independently and in a team environment toward the successful achievement of goals.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
