SUMMARY

The Flight Operations Administrator will be focused on managing and maintaining all administrative processes and tasks for the Flight Operations Admin team. This position is also responsible for administrative support, provided to the VP of Flight Operations and Director of Training. The successful candidate will be able to work effectively in a fast-paced environment, handle confidential matters with diplomacy and discretion, is highly motivated, reliable, and will demonstrate the ability to take initiative and meet time-sensitive deadlines.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but not limited to:

  • Manage sensitive information in a confidential manner, using discretion and judgement in administering and handling projects involving financial, competitive, and other critical and sensitive information.
  • Support VP of Flight Operations
    • Facilitate and track Crew Manpower Planning Team
    • Prepare Crew communications where necessary on behalf of VP of Flight Operations (announcements, events, procedural changes, etc.)
    • Maintain Flight Operations management by objective project tracking
    • Responsible for entering records in the Pilot Record Database and responding to PRIA requests.
    • Provide logistic support to recruiting for pilot hiring events.
    • Assist with other projects as requested, including the responsibilities listed below.
    • Provide support by performing data entry of fuel uplift records for ACMI and CMI customers and audit flight crew trip envelopes.
  • Support Director of Training
    • Provide support by formatting, streamlining of training documents.
    • Receive and process training records and provide to the Chief Pilot or Director of Training for review.
    • Conduct training record audit and communicate findings to the Director of Training.
    • Track First Officer flight time and to anticipate upgrade time
    • Assist with other projects as requested by the VP of Flight Operations and Director of Training.
  • Manage and track Flight Ops Admin expense reports.
  • Organize and arrange all executive meetings including the Flight Ops Management Meeting; prepare minutes as requested.
  • Attend and prepare minutes for ACP/Pilot Trainers' quarterly meetings.
  • Arrange business travel as required for Flight Ops Admin group and others as approved by the VP, Flight Ops and Executives.
  • Actively participate in the Safety Management System (SMS) including reporting hazards and incidents encountered in daily operations; understand, comply and promote the Company Safety Policy.
  • Other duties as approved by the VP, Flight Operations.

QUALIFICATIONS:

EDUCATION and/or CERTIFICATION:

  • High school diploma or equivalent required.
  • Associates degree in related field preferred.

REQUIRED KNOWLEDGE:

  • Strong Microsoft Office Suite, general computer and database software knowledge: Word, Excel, PowerPoint, Outlook
  • Knowledge/understanding of FAA credential requirements for pilots.

REQUIRED EXPERIENCE:

  • Three to five years of experience in an administrative role.
  • Understanding of flight crew working environment
  • Exceptional administrative and time management skills
  • Data entry experience
  • High degree of accuracy and attention to detail
