Nature of Work

Provide administrative support services. 

Essential Functions and Responsibilities

  • Create and update files of various kinds; for example, documents, spreadsheets, and databases.
  • Perform other administrative activities such as answering phones, distributing mail, ordering supplies, maintaining office equipment, making travel arrangements, filing, typing, greeting and assisting visitors, and working with internal and external clients.
  • Compose and/or edit letters, memos, reports, procedures, etc., as required.
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization.
  • Assist & greet visitors 
  • Screen incoming calls
  • Maintain information regarding which employees are in or out of the office, as well as where & how they can be reached when out of town
  • Process incoming & outgoing mail & packages, as required. Ensure timely delivery of mail to the appropriate parties
  • Provide oversight of the break room, conference rooms, & general use areas to ensure upkeep. Order supplies, food, ensure everything is in stock, and that all areas are tidy/clean to a professional standard
  • Ensure communication/printer room is tidy & materials are stocked (paper in printer, office supplies, etc.); order additional supplies as needed
  • Assist with various office event planning
  • Provide various administrative support duties to the office team, as needed
  • Exercise initiative or, as directed, perform additional duties to meet the needs of the organization

Education

  • High school diploma or General Education Degree (GED).     

Experience

  • Six months to two years or more of related work experience required.

Physical Demands

  • Physical demands for this position are light. Typically the employee may sit comfortably to do the work. However, there may be walking, standing, bending or carrying of light items (10-25 pounds) such as papers, books, small parts, etc.  No special physical demands are required to perform the work.

Work Environment

  • The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, residences, commercial vehicles, or outdoors, e.g., use of safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations and traffic signals, etc.
