Are you detail-oriented, organized, and passionate about making a positive impact? Ultimate Staffing is seeking an Administrative Coordinator to join a dynamic organization in Rockville, MD. This is a direct hire, permanent opportunity with a salary range between $50,000 and $55,000 per year depending upon experience. Please note this is a fully on-site opportunity in Rockville.

Responsibilities:

  • Office Support:
    • Execute diverse clerical duties with independence and precision.
    • Manage records, compile reports, and transcribe meeting minutes.
    • Maintain accurate documentation and filing systems.
    • Handle mail distribution and oversee office supplies inventory.
    • Assist in processing credit card receipts and invoices.
    • Efficiently schedule meetings and provide communication support.
  • Data Management:
    • Ensure accuracy in the organization's Grants Management System.
    • Input and extract data from online databases.
    • Uphold data integrity and manage schedules for site visits.
    • Responsively handle inquiries about grant programs.
    • Provide timely financial information on grant decisions.
  • Special Events:
    • Collaborate in planning, executing, and developing content for sponsored events.

  • Qualifications:

    Education and Experience:
    • High School Diploma required; Associate's/Bachelor's Degree Preferred.
    • 2+ years of experience in a client facing, administrative role.
    Skills and Knowledge:
    • Detail-oriented with accurate data entry.
    • Proficient in Microsoft Office Suite (especially Excel) and Adobe.
    • Experience with CRM software and relational databases.
    • Strong customer service and communication skills.
    • Familiarity with meeting setups (in-person, virtual, and hybrid).
    • Ability to work independently and meet project timelines.
