Position Summary:

Leadership in the Office of the Registrar is shared among the University Registrar, the Associate Registrar for Graduate Programs and Transfer Student Services, and the Assistant Registrar for Operations. The Associate Registrar for Graduate Programs and Transfer Student Services is responsible for building and maintaining the transfer credit and graduate student credential evaluation processes, proposing and implementing relevant policies and processes, and serving as the primary liaison to the university's admissions office, as well as the Dean of Graduate Studies.



Essential Job Functions and Responsibilities:

• Oversee broad areas of analysis, policy interpretation, public and legal accountability, and business development, unique to the University Registrar and to address such areas as transfer credit evaluation, graduate student credential evaluation, degree requirements and completion, confidentiality, compliance and system enhancements.
• Collaborate with the University Registrar, registrar's office staff, to create efficiencies between office unit teams in order to support operational excellence and University strategic planning goals.
• Communicates policies, timelines, and deadlines with academic departments regarding the business processes of the University Registrar's office related to transfer and graduate students and ensures that deadlines are met, policies are enforced, and processes followed. Addresses non-compliance with policies and procedures.
• Responsible for ensuring accuracy of student record information.
• Respond to transfer and graduate student credential evaluation requests and process results after researching transfer institution and course content, checking for compliance with relevant policy, comparing courses to the Puget Sound curriculum, securing department recommendation or approval (when appropriate), and exercising judgment to determine whether courses are appropriate for inclusion in a Puget Sound degree, or acceptable for graduate student admissions. Advise students submitting requests as appropriate regarding remaining degree requirements and possible, or unanticipated, effects of transferring credit.
• Represent the Office of the Registrar to the Division of Student Affairs, Admissions, CHWS, Academic Advising, International Programs, Career & Employment Services, and Student Accessibility and Accommodation on relevant matters related to transfer and graduate students.
• Serve as a member of the Registrar's Office leadership team to collaborate on the direction of the office.
• Interpret policy and formulate business practices independently and in consultation with the University Registrar.
• Oversee, build, and implement internal and external transfer credit and graduate student credential review processes, databases, and systems while troubleshooting system errors and suggesting new efficiencies.
• Build the transfer and graduate student credential evaluation infrastructure within the University of Puget Sound's systems (PeopleSoft, Smart Panda, etc.) populating transfer credit rules in consultation with university stakeholders.
• Liaise with Deans, department chairs, and faculty governance committees in regards to academic policies and curricular matters to support transfer and graduate students.
• Monitor the curriculum for new and revised courses and revisions to degree requirements, and provide recommendations to improve the transfer and graduate student experience.
• Oversee and respond to student and staff inquiries regarding transfer credit and graduate student policies and procedures while handling sensitive situations regarding these issues.
• Collaborate with the Office of Admissions, Academic Advising, and the Dean of Graduate Studies to ensure exceptional service for transfer and graduate applicants, and to support university enrollment goals.
• Review and process transfer credit and graduate student credential evaluations for accuracy and completeness and correspondence to students and departments.
• Collaborate with the Assistant Registrar for Operations, the Admission Evaluator, and the Degree Evaluator on the maintenance of the advising report.


Supervisory Responsibilities

• The Associate Registrar is second in the office hierarchy and is the office supervisor in the absence of the University Registrar.
• Organize the staff for office projects and events.
• Temporarily accept the responsibilities of the University Registrar in the absence of the University Registrar.
• Assist regular staff in solving problems or developing new procedures.
• Serve as temporary back-up to absent staff members as circumstances require.

Qualifications:

• Candidates must be able to explain and/or demonstrate that they possess the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation.
• Bachelor's degree with 3 years of increasingly responsible administrative experience.
• Experience with developing and writing procedures, implementing workflow systems, and with coordinating work among staff members.
• Leadership potential as indicated by taking initiative on group projects, coordinating efforts with others to address common problems, by networking with others outside the organization to develop new ideas or processes, and by assuming responsibility for difficult tasks.
Strong cross-cultural, cross-generational, and interpersonal and communication skills are necessary.
• Ability to respectfully work, communicate and provide leadership within a diverse campus community.
• Ability to take responsibility for assigned projects from beginning to completion with attention to detail and accuracy.
• Must be able to meet deadlines and work independently with minimal supervision.
• Excellent knowledge and practice of organizational and time management skills; attention to detail and follow through. Ability to handle multiple tasks simultaneously.
• Ability to respectfully work, communicate and provide leadership within a diverse campus community


Compensation and Benefits: The range for this position is $60,000 - $75,000 annually. Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.
