The University of Iowa Hospitals and Clinics department of Orthopedics and Rehabilitation is seeking a full time Clinic Services Specialist to support frontline operations and staff at the Work Injury Recovery Center. This position will provide services related to access, scheduling, and support to assure effective and efficient delivery of health care services striving toward an excellent patient experience. Position performs activities related to scheduling patient appointments, serving as a patient advocate, handling patient access requests, handling service recovery incidents, ensuring appointments are scheduled appropriately, and using independent judgement to best ensure the patient has an excellent experience.

Duties to include:

  • Schedule patient appointments and tests and coordinate appointments with other University of Iowa Hospitals and Clinics (UIHC) departments utilizing the EPIC systems to check and verify appointment availability, assuring compliance at all times with established guidelines.
  • Performs scheduling for advances procedures and injections
  • Perform reception coverage; assist with patient appointment check in process through the Epic systems; greet patients upon arrival to the clinic; answer questions in a manner that applies service excellence principals; update patient address, phone, insurance, MSP data and caregiver information; assure patients complete and/or sign all appropriate documentation.
  • Collect patient insurance co-payments at time of check in; accordance with established UIHC policies; close daily batch and print appropriate paperwork for business office; complete variance reports.
  • Provide training and onboarding support to new hires
  • Learn scheduling functions at all Ortho locations and flex locations to provide coverage as needed
  • Facilitate patient satisfaction initiatives- may participate on committees, implement department patient satisfaction initiatives with team, and implement and reinforce C3 training elements with the team
  • Update and maintain training documents and team resources
  • Communicate Epic changes and training team on Epic upgrades as necessary

Required Qualifications:
  • Bachelor's degree or equivalent experience and education.
  • 1 year of experience in a frontline health care setting
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Ability to organize and prioritize multiple tasks on time and maintain quality standards
  • Experience working with Microsoft Office, EPIC and Excel
Desired Qualifications:
  • Knowledge of institution and policies, processes, and forms
  • Knowledge of Orthopedics department and frontline unit policies, processes, and forms
  • Ability to make decisions requiring interpretation and judgment
  • Ability to gather, analyze and display data in appropriate format and keep accurate records
  • Attention to detail
