Job Summary

The University of Chicago seeks an organized and detail-oriented Dining Systems Coordinator to assist in the daily operations of the UChicago Dining Office. The person in this position is responsible for providing data input and analysis and manages the dining systems. The UChicago Dining Systems Coordinator is a full-time, staff position responsible for supporting the UChicago Dining Office. This position resolves problems and adjusts to the changing needs and demands of the University community as it relates to the Dining Services program. This individual manages the dining systems for day-to-day dining services and responds to questions and inquiries as they arise from students, faculty, and staff. This individual will report to the Assistant Director, Dining Systems and Support Services. The job oversees a broad range of business operations and academic activities. This position develops and implements office procedures and policies and ensures compliance.

Responsibilities

  • Oversees CS Gold/Simphony meal plan and Maroon dollar usage and ad hoc reporting.
  • Manages residential dining and retail sales reporting.
  • Maintains CS Gold system records.
  • Inputs meal plan and Maroon dollar plan purchases into CS Gold.
  • Programs Simphony database with new menu items.
  • Performs daily balancing of transactions for Simphony and CS Gold.
  • Provides backup for the Assistant Director, Dining Systems and Support Services when needed.
  • Provides assistance to UChicago Dining vendors to secure Campus Cards, and technology requests.
  • Under limited supervision, provides high level support to all onsite point of sales (POS) and peripheral devices.
  • Diagnoses and corrects MICROS/POS/CBORD freezes and downtime issues.
  • Updates and modifies UChicago Dining website and assist with other marketing needs as necessary.
  • Performs Mystery Diner CBORD and survey reporting and analysis.
  • Develops and implements relevant policies and procedures and ensures compliance.
  • Assists in managing the scheduling of the senior leadership of the department.
  • Uses general understanding and experience to administer the delivery of services to program participants and/or beneficiaries.
  • Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Performs other related work as needed.

Preferred Qualifications

Experience:
  • Experience in an administrative capacity utilizing Microsoft Office Suite with proficient skills.
  • Knowledge of and experience in data entry on a database application and data analysis utilizing Excel.
  • Experience with CBORD/CS Gold and Simphony POS System.

Preferred Competencies
  • Ability to perform data entry on a database application platform system to add and/or update patron records.
  • Ability to analyze and reconcile large amounts of data and relate to multiple customer billing scenarios.
  • Demonstrated customer service experience preferably in a University setting.
  • Strong oral and written communication skills.
  • Proficiency with Windows based computers, including MS Office Suite (Word, Excel, and Outlook).
  • Ability to handle sensitive and confidential situations and information with absolute discretion.
  • Well-organized, detail-oriented, focused, timely, and efficient.
  • Ability to work independently with a high degree of initiative and on a team.
  • Strong knowledge of spreadsheets, database applications, and experience with PC workstation applications.

Working Conditions
  • May need to be available after hours and on weekends for support related to planned IT upgrades and unexpected service outages.
