General Description:

The Division Secretary, Social Sciences is responsible for performing a variety of duties for the Division. Duties include, but are not limited to, the following: assist the Dean and Chairs with program needs; assist in telephone inquiries and follow-up for general information, enrollment, and other matters pertinent to the programs; assist Dean with external communication; serve as the initial point of contact for visitors and faculty in the Division Office; assist Division Assistant with duties in the absence of the Division Assistant; assist with data entry, records maintenance, and mail distribution. This position requires the individual to be able to work independently, follow directions, and meet deadlines.

Minimum Education/Experience:

High School Diploma/ GED

Minimum (2) years' work experience in an office environment.

Required Knowledge, Skills & Abilities:

Demonstrated ability to relate to and communicate effectively with a diverse student, faculty, and staff population.

Demonstrated ability to complete tasks with attention to accuracy and detail.

Demonstrated ability to manage multiple priorities.

Demonstrated ability to effectively communicate professionally both verbally and in a written format.

Proficiency in the use of Microsoft Office Suite or similar software.

Physical Demands/Working Conditions:

1. GENERAL PHYSICAL REQUIREMENTS:
Light work: The person in this position may occasionally exert up to 20 pounds of force to grasp, lift, carry, push, pull, or otherwise move objects.

2. PHYSICAL ACTIVITIES:
This position requires the person to frequently move about the OCCC campus and off-site outreach locations.

This position requires the person to frequently communicate with and listen to administration, faculty, staff, students, and others to perform the essential functions of the position. Must be able to exchange accurate information in various situations.

This position requires the person to frequently remain in a standing and stationary position.

This position requires the person to frequently operate a computer, other office machinery, and mobile devices to perform the essential functions of the position.

This position requires the person to frequently operate equipment that involves repetitive motions of the wrists, hands, and/or fingers.

This position requires the person to perceive attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.

3. VISUAL ACUITY:
This position requires the person to judge, observe and assess the accuracy, neatness, thoroughness of work assigned or to make general observations.

4. WORKING CONDITIONS
This position performs the essential functions in an indoor office setting.

Job Duties (Position Specific):

Job Duties (Duties Assignment Statement):

Plan, initiate, and carry to completion assigned clerical and secretarial activities.

Acting on instructions from the Division Dean word process or type with speed and accuracy, correspondence, memorandum, reports, and other office documents.

Answer the telephone, greet, screen, announce, and route visitors and other persons needing assistance.

Effectively interact with and provide information and assistance to faculty, staff, students, and the public regarding division programs, services and operations.

Collaborate with Division Dean, Division Assistant and faculty to maintain the schedules and catalog.

Prepare operational forms necessary to ensure the effective functioning of the division.

Develop and maintain a comprehensive division filing system.

Assist the Dean with program needs in the Office of the Division of Social Sciences.

Advise the Division Dean of significant matters and support the leadership and members of management in the achievement of their goals and operational purposes.

Maintain positive relationships with all departments to ensure effective and efficient operations.

Perform Division Assistant duties in the absence of the Division Assistant

Job Duties (Safety / Policy & Procedures):

Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures.

Contribute to a safe educational & working environment.

Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.

Complete quarterly health and safety training pursuant to OCCC's established safety and health procedures and practices.

Participate in all applicable OCCC emergency, evacuation, shelter in place drills, and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
