Position Summary

Ensure the smooth functioning of the Office of the Provost (office of ten) by managing communication, scheduling, and day to day operations and serving as the front line and face of the office. Manage the schedules of the Provost, Deans for Faculty Affairs and Academic Affairs. Coordinate and staff meetings of Academic Council and Trustee subcommittees. Act as liaison to academic department administrators. Hire, schedule, and train student employees. Plan and execute Provost Office events (conferences, receptions, community events)

Primary Position Responsibilities

  • Manage schedules for Provost, Deans of Faculty and Academic Affairs (all are Senior Leadership members). Coordinate travel arrangements for the Provost and Deans and prepare travel reports for reimbursement.
  • Greet visitors to the office. Serve as point person for smooth and efficient office operations (field general inquiries, organize staff meetings and events, order supplies, liaise with facilities).
  • Review the Provost's correspondence and calls. Independently respond to requests based on knowledge of Provost Office operations. Prioritize requests that require the immediate attention of the Provost or the Deans of Academic Affairs and Faculty Affairs.
  • Hire, schedule and supervise student employees.
  • Provide guidance and direction to the academic administrators. Coordinate training, including in relation to faculty searches, use of Workday, and budget management. Oversee the onboarding of new academic administrators and develop and maintain the standard operating guidelines. Provide input to the Provost regarding performance issues.
  • Support external visiting committees for academic departments. Prepare and communicate materials for finalists in faculty searches. Support direct report-level searches and on-boarding of new hires. Coordinate and support various outside constituencies (AALAC, Northeast Deans, Babson-Olin-Wellesley Provosts).
  • Staff, transcribe, and schedule meetings of Academic Council and meetings of Board of Trustee committees, as needed. Maintain Academic Council mailing lists and materials. Schedule meetings for various committees of Academic Council.

Education Required:
  • Bachelors required
Experience Required:
  • Five plus years of experience supporting senior level management.
Skills and Abilities Required:
  • Ability to be flexible, take initiative and work independently
  • Effective written and oral communications skills
  • Ability to work with multiple managers
  • Ability to collaborate with academic and other departments
  • Ability to interact effectively with all constituencies (faculty, staff, union, senior leadership, trustees)
Other:
  • This position is the front line and face of the Provost Office, interacting with most members of the Wellesley College Community. As such, the position requires that one fields and prioritizes a multitude of inquiries and requests.
  • Occasional evening and weekend work, as needed.
