Position Summary:

Under the direction of the Director of Financial Aid, Manager of Student Services supervises the day-to-day processes and general operations of the office. The Manager of Student Services is responsible for assisting students in all aspect of financial aid, which includes, but is not limited to, federal and state grants, student loans, scholarships, and work-study. Researches complex issues to resolve non-routine student problems in compliance with federal, state and institutional regulations. Plans financial aid workshops, seminars and coordinates financial literacy program. The manager of student services is also responsible for the planning, operation, and reconciliation of the Federal Direct Loan program.

Reporting and Supervisory Relationships:

Direct reporting relationship to the Director, Financial Aid.

Essential Responsibilities:

  1. Provides leadership, training, and supervision to front desk support staff, part-time staff, and student employees on the coordination of financial aid file processing.
  2. Ensures quality customer service and delivery of student aid to prospective and current students while maintaining compliance with federal, state, and institutional guidelines.
  3. Develops and implements procedures to produce effective and efficient management of student financial aid programs.
  4. Assists the Director with audit request, submission of federal and state reports and other financial aid related reconciliation programs including return of funds.
  5. Assists students in completing the Free Application for Federal Student Aid for all federal and state aid.
  6. Verifies student files against tax information and/or other appropriate documentation to ensure accuracy through the guidelines set by the Department of Education and the Illinois Student Assistance Commission.
  7. Checks for student eligibility, packages awards, and sends correspondence to students.
  8. Assists students with extenuating circumstances in the preparation of appeals for reinstatement of financial aid.
  9. Communicates campus wide processes and procedures to prospective and continuing students.
  10. Provides information and assistance regarding the department's programs and services.
  11. Conducts group workshops and represents the financial aid office at various on and off campus events.
  12. Provides back up to departmental staff when needed and in their absence.
  13. Remains current on financial aid regulations by attending seminars, reading printed materials and information on the internet.
  14. Schedules time and work efficiently under the pressure of deadlines without immediate supervision.
  15. Maintains data entry using Datatel's Colleague integrated software system.
  16. Assists students with extenuating circumstances and exercises professional judgment.
  17. Prepares and maintains student financial aid records and files in established system.
  18. Performs a variety of support functions which are primarily routine in nature, but require knowledge of the general operating procedures of the department.
  19. Respects confidentiality and maintains effective working relationships with students, staff, faculty, and external contacts.
  20. Performs other duties as assigned within the scope of the department, consistent with the role of this position.
Minimum Qualifications:

  1. Master's degree in business, social science or related field.
  2. Three to five years of financial aid experience with demonstrated ability to interpret federal, state, and institutional student financial aid guidelines and process requests for financial assistance.
  3. Knowledge of computer operation and ability to input and interpret data.
  4. Ability to work well in stressful situations, meets deadlines, and demonstrates strong oral, written, and interpersonal communication skills.
  5. Ability to train, supervise, and evaluate employee performance if assigned.
Preferred Qualifications:

  1. Demonstrated evidence of being detail-oriented and possessing organizational skills.
  2. Experience in financial aid using the Colleague Datatel system.
Anticipated Work Hours and Days:

Mon., Tues, Thurs., Friday; 8a-4:30p. Wednesday, 10:30a-7p

minimum starting-$55,139; salary commensurate with experience
