Overview

This position is primarily responsible for providing general administrative support to the Human Resources department. Those duties include but are not limited to: maintenance and organization of Corporate and Division personnel files, Leave of Absence tracking, processing employee status changes and miscellaneous clerical and administrative tasks as assigned.

This position supports multiple HR functions and requires the ability to prioritize workflow. Must be able to manage multiple projects and requests simultaneously.

Primary Duties & Responsibilities

  • Manages Leave of Absence process and paperwork and notifies HRBPs when expiration of leave is approaching.
  • Processes employee status change forms and updates to employee records.
  • Assists Talent Acquisition with entering new requisitions in Applicant Tracking System.
  • Assists compensation team by creating and issuing promotion and bonus letters as well as stock award agreements.
  • Acts as HR liaison and resource for HR Facilitators in divisions.
  • May schedule meetings and interviews for Human Resources department
  • Maintains HR compliance posters for all locations.
  • Monitors visitor and employee to the Corporate office and maintain security awareness.
  • Supports the national shipping program administratively by monitoring performance and troubleshooting issues.
  • Creates and maintains new UPS accounts.
  • Assists with Iron Mountain records, shipping and retrieval
  • Creates new accounts and maintains addresses in Office Depot system.
  • Maintains employee personnel files including creating new files, maintaining I-9 documentation, and filing documents & information to the appropriate file.- including sensitive information that can not be shared with others.
  • Administers COVID-19 case tracking and gives guidance on procedures.
  • Assists with onboarding of new employees into payroll system.
  • Runs and distributes varies reports to key stakeholders.
  • Assists with varies Human Resources projects.


Education & Experience

  • Minimum of 2 years' experience in Human Resources.


Skills & Abilities

  • Ability to manage numerous tasks simultaneously and prioritize work requests from multiple HR functional leaders.
  • Ability to maintain confidential information without disclosing to others, including employee compensation, disciplinary actions, and employee health information.
  • High attention to detail.
  • Excellent written and verbal communication skills
  • Organization and prioritizing skills.
  • Proficient in Microsoft Office products especially Excel, PowerPoint and Word.
  • Ability to navigate multiple HR systems such as Ultipro, ICIMS, and Presagia.


Physical Requirements

  • Sedentary work; involves sitting most of the time.
  • Expressing or exchanging ideas by means of spoken and written word
  • Conveying detailed or important spoken instructions to vendors and coworkers accurately, clearly, and at times quickly
  • Hearing / perceiving nature of sounds at normal speaking levels with or without correction
  • Ability to receive detailed information in oral communication
  • Use of wrists, hands and/or fingers for typing
  • Exerting up to 10 pounds of force occasionally with force to lift, carry, push, pull or otherwise move objects
  • Required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading, primarily on a computer monitor
  • This position must work physically in-office a minimum of 30% monthly.
  • Remaining work time can be completed remotely following remote work policies.
