Job Description
Reporting to the General Counsel, the Legal Assistant and Deputy Title IX Coordinator is responsible for providing direct support to the General Counsel, Director of Risk Management and Director of Non-Discrimination Initiatives/ Title IX and ADA/Section 504 Coordinator. Support advancement of departmental objectives and projects through meeting coordination and scheduling, management of office workflow and communication, meeting and activity preparation and proactive follow up.

Responsibilities include, but are not limited to:

General Counsel:

  • Manage the General Counsel's calendar, scheduling meetings, travel and conference calls, anticipating scheduling conflicts and recommending options for the resolution of conflicts to align with the General Counsel's priorities.
  • Ensure that the General Counsel is provided with appropriate informational and briefing materials for upcoming meetings, events and issues.
  • Monitor email and telephone inquiries to the General Counsel's office, and assist in responding to general questions and managing and tracking the workflow of the office.
  • Assist in compliance activities, legal and governmental filings, contract review, review and maintenance of forms, procedures and policies (see also responsibilities in supporting risk management, below);
  • Assist in preparation of training and written reports and presentation materials
  • Assist in policy development projects, including compiling exemplar policies and other materials from other institutions and other publicly available sources, as may be requested.
  • Assist in the preparation of correspondence and legal documentation for General Counsel.
  • Assist in the oversight of external legal counsel, including preparing and maintaining retention letters and reviewing and ensuring timely payment of
    invoices.
  • Assist in ensuring that the General Counsel webpage and/or intranet page contains accurate and up-to-date information.
  • Organize, track, and maintain case and other files to ensure they are up-to-date and all necessary information for use by the General Counsel is readily available.
  • Assist in the submission of expense reports and managing memberships in legal organizations and state bars, and assisting in oversight and management of the General Counsel's office budget.
Director of Non-Discrimination Initiatives and Title IX Coordinator: and ADA/Section 504 Coordinator:
  • Provide administrative and project support to the Director of Non-Discrimination Initiatives/Title IX Coordinator and ADA/Section 504 Coordinator.
  • Monitor inquiries and reports to the Director of Non-Discrimination Initiatives/Title IX Coordinator and ADA/Section 504 Coordinator's office, and assist in responding to general questions and managing and tracking the workflow of the office.
  • Assist in maintaining records of the office and ensuring accurate annual reporting under the Clery Act and to the Massachusetts Department of Higher Education.
  • Assist in preparation of training and written reports and presentation materials.
  • Assist in ensuring that the web page and/or intranet page for the office contains accurate and up-to-date information.
  • Assist in the coordination of prompt, compliant, and equitable investigations and timely resolutions of complaints that fall under the College's policies..
Director of Risk Management:
  • Provide administrative and project support to the Director of Risk Management.
  • Assist in ensuring that the risk management webpage and/or intranet page contains accurate and up-to-date information.
  • Provide administrative support to the Enterprise Risk Management program on behalf of the General Counsel and the Director of Risk Management by scheduling monthly meetings of the critical risk managers and monthly meetings of the Risk Oversight Committee, including assisting in planning and preparing agendas.
  • Assist in the implementation, monitoring and day-to-day management of the College's motor vehicle policy.
  • Assist in the implementation, monitoring and day-to-day management of the College's Policy for the Safety and Well-Being of Minors.
  • Assist in implementation of a contracts management program, including regular inputting of contracts into the contracts management database and triggering review processes.
  • Assist in other ongoing monitoring of compliance responsibilities and ensuring timely compliance.
Requirements:
  • Bachelor's degree or equivalent experience; paralegal certificate or some law school preferred
  • 3+ years of office experience required, experience in higher education or in a law firm preferred
  • Excellent time management, organizational and communication skills
  • Ability to maintain confidentiality and protect sensitive information and exhibit strong professional judgment
  • Ability to work independently and collaborate with others
  • Ability to manage concurrent projects and multiple priorities
  • High degree of flexibility and adaptability
  • Microsoft Office experience required, including strong skills with PowerPoint and/or Google Slides and Microsoft Excel and/or Google Sheets
