Legal Assistant - Corporate Real Estate - Direct Hire Opportunity - Springfield, MA

Ultimate Staffing is partnered with a well-respected Law Firm that has an immediate opening for an experienced Corporate Real Estate Legal Assistant to join their team.

Hours: Monday - Friday 8 AM to 5 PM

Onsite required.

Salary range - 70,000 - 75,000 DOE

Responsibilities include:

  • Answering, screening telephone calls, and taking messages for Attorneys.
  • Scheduling client meetings either in person, via teleconference or Zoom.
  • Calendaring Court dates and all other appointments.
  • Typing, editing, and revising documents adhering to the firm's styles and guidelines. Assisting with document conversion and clean up.
  • Dictation using Phillips speech software.
  • Printing/profiling attorney emails.
  • Handling court filings through the E-filing system for both U.S. District Court Massachusetts Courts (all counties).
  • Entering and editing Attorney time entries through Elite.
  • Notarize documents and witness client signings.
  • Submitting requests for conflicts checks and completing New Matter Reports for signature/approval.
  • Filling out expense reports.
  • Filing - keeping all attorney client files updated and complete as well as completing the documentation for closing files in preparation of sending them to offsite storage/archive.
  • Pick up/drop off mail at office building post office daily, open and sort incoming mail, process outgoing mail.
Requirements:
  • Minimum 2 to 3 years of applicable experience.
  • Strong computer software application knowledge and keyboarding skills.
  • Experience with Microsoft Office (Word, Excel, Power Point), Outlook.
  • Experience with I Manage or equivalent document management software, Innova (legal document creation software), document comparison software, Adobe or Kofax PDF, Phillips Speech Transcribe.
  • Ability to interact with attorneys, staff and clients of the Firm as required.
  • Ability to multi-task with good organizational and communication skills.
  • High School diploma required.
  • Associate's degree highly preferred.
