Administrative Services provides support services to ZS professionals as they complete their work. The administrative services team provides administrative support, travel-planning operations, catering coordination and facilities management.

MARKETING & COMMUNICATIONS ASSISTANT

We seek an experienced administrative professional to join the marketing & communications team. This person should be highly organized and a self-starter, willing to manage critical administrative and operational tasks to support the team, taking on ad hoc projects to support the team and more. This role provides opportunities for project coordination, relationship development, and administrative support for the leadership team. Interpersonal and Microsoft skills are a must.

Responsibilities:

  • Coordinate team leadership meetings, including calendaring, agenda management, note-taking and logistical support (AV/IT support, room reservations, catering, etc.)
  • Plan and coordinate quarterly team meetings and semi-annual team building events
  • Support leadership with creation of PowerPoint presentations and slides for ZS planning and development meetings
  • Work with ZS teams across the United States and India
  • Manage potential client inquiry process (responding to inquiries, tracking contacts, routing) and serve as knowledge resource for other administrative staff (update training materials, answer questions),
  • Manage marketing materials (order books and other supplies, manage inventory)
  • Train new team members on Marketing & Communications procedures and ZS technologies
  • Increase managers' productivity (screening calls, interacting with vendors and clients, and email correspondence);
  • Provide scheduling support to multiple individuals (appointment, calendar and meeting management);
  • Complete administrative processes (time and expense reports, process invoices);
  • Prepare domestic and international travel logistics (itineraries, visas, etc.);
  • Coordinate internal and external meetings/activities (i.e. facility reservation and set-up, hotel accommodations, catering, etc.);
  • Prepare and organize documents for internal meetings and presentations as needed (contract tracking, printing, organizing and archiving meeting / support materials);
  • Address problems and troubleshoot with internal and external stakeholders;
  • Handle special projects with demanding deadlines;
  • Front desk reception back-up (answering phones, greeting visitors, handling deliveries);
  • Typical hours are 8:00 am - 5:00 pm, however the role does require early mornings on occasion to support early calls with team members in India.

Qualifications:
  • Bachelor's degree required.
  • At least 3 years of relevant work experience as an Administrative/Executive Assistant, preferably in a professional services environment;
  • Computer fluency with MS Office (Word, PowerPoint, Excel and Outlook), SAP and Concur desirable;
  • Strong oral and written communication skills;
  • Professional appearance and demeanor with ability to exercise good judgment and discretion;
  • Attention to detail, dependability/punctuality;
  • Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines;
  • Experience working both independently and with a team in a demanding environment;
  • Sense of humor appreciated.

ZS is a global consulting firm. Fluency in English is required; additional fluency in at least one European or Asian language is desirable.
