Job Description

• Creatively developing shift schedules for part-time field staff according to client test calendar and study requirements. This will involve assigning field employees to positions that best match their unique skillset to support successful study execution.

• Assisting the operations team and part-time employees with time entry, training and technological tasks, as needed.

• Test preparation and on-site support including hosting and check-in of respondents, kitchen prep or other project execution tasks, as needed.

• Providing the Operations Director with critical support and assistance with daily tasks including, but not limited to, scheduling, organizing files, recording meeting notes, time tracking and entry, expense reporting, filing of change control requests, preparing and packing shipments, photocopying and scanning documents and engaging in office event planning and setup.

• Managing the field operations project tracker, PCCs and providing expert advice to the Operations Director to ensure projects are fielding within the allocated budget and are best assigned to guarantee the successful and timely completion of all studies.

• Managing the reception desk at the corporate office entrance including providing a friendly greeting to all visitors, answering and directing phone calls, taking messages, client or guest management, facility tours and processing or sorting incoming and outgoing mail.

• Monitoring the breakroom, front lobby and office areas to ensure tidiness including loading and unloading coffee area and dishwasher and daily preparation of coffee for employees and guests

• Company and test event preparation including ordering and setup of supplies or meals, receiving or preparing shipments, etc.

• Creating and issuing weekly financial and operational managerial reports to all department heads

• Printing and mailing research participant incentive checks then auditing the incentive payments against project financials after fielding to ensure accuracy. Researching any discrepancies as necessary

• Co-managing the bidding shared inbox and updating Sales Force with Closed Won client project bids and Project Change Controls filed.

• Ensuring accuracy and completeness of bid file and alignment with Sales Force and resolving any discrepancies with the Client Service team.

• Effectively managing and resolving problems related to your responsibilities, as they occur

• Misc. tasks assigned as time allows.

Qualifications

Qualifications:

Technology -Proficiently using computer hardware and software including Microsoft Office

Computers, iPads and other mobile devices and their applications

Database user interface & query/spreadsheet software- Excel

Communication software- Microsoft Word Dynamics, PowerPoint, E-tabs

Cloud based software- Salesforce.com (nice to have)

Mathematical Reasoning -proficiency in basic math and algebra

Writing- Communicating effectively in writing as appropriate for the needs of the audience; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar;

Teamwork- Focus on solving conflict; keep emotions under control; exhibit objectivity and openness to others' views; contribute to building a positive team spirit; put success of team above own interests; support everyone's efforts to succeed.

Dependability- Respond to management direction; take responsibility for own actions; commit to long hours of work when necessary to reach goals; complete tasks on time or notify appropriate person with an alternate plan. Ensure work responsibilities are covered when absent; arrive at meetings and appointments on time.

Education and Experience:

• Ideal candidate will have a college degree and/or relevant job experience.

Required Licenses or Certificates:

Valid Driver's License and Proof of Insurance

Additional Information

Position is Full-Time, Monday-Friday, 8:00 a.m.-5:00 p.m.,withadditional hours, as needed. Candidates currently living in a commutable distance to Plymouth, MN are encouraged to apply.
