Job Description Summary
The Patient Coordinator will assist the Penn Dental Family practice, located at 3737 Market Street, in maintaining a patient/customer focus, support the delivery of high quality care, share a passion for patient and customer centered care, and assist in meeting or exceeding patient satisfaction and financial/operational targets. In addition to performing the duties of checking in/checking out, patient registration, appointment scheduling, and referrals/pre-authorizations, the role will be expected to be a collaborative and customer-focused partner with diverse faculty, staff, students, patients and community members.

Job Description

  • Verify & maintain the accuracy of patient records including demographics, insurance, financial & guarantor data. Provide coverage and support as needed for the practice. Take responsibility for all work activities and personal actions; follow through on commitments; implement decisions that have been agreed upon; maintain confidentiality with sensitive information; acknowledge and learn from mistakes without blaming others; recognizes the impact of one's behavior on others.
  • Complete daily review of dental site appointment book for accuracy & completion of dental procedures including appointment book controls for maintaining productive & efficient patient flow. Respond to routine treatment & billing questions. Reconcile daily cash receipts. Collect co-pays and explain PDFP polices regarding co-pays required at the time of service. Fosters a sense of collegial partnership and teamwork. Encourages cooperation and establishes common ground.
  • Accurately create schedules with the faculty practices meeting targeted daily goals. Schedule patients accurately & completely. Offer appointment alternatives when needed. Accurately gather patient demographics, insurance and/or financial information to establish patient's account, financial & billing data. Handle all insurance verification as well as pre- and post-appointment activity. Remains calm in stressful situations. Demonstrates pleasant disposition that puts people at ease.
  • Professionally greet & assist patients by scheduling appointments, providing explanation and translating information concerning dental clinic, charges, policies, & procedures. Register patients & prepares new charts. Consistently demonstrates concern & courtesy towards colleagues & customers; treats all people respectfully; takes personal responsibility for correcting problems; follows up with individuals to ensure satisfaction with the level of service they have received.


Qualifications:

HS Diploma/GED and 2 - 3 years of experience or equivalent combination of education and experience is required. Previous working experience in dentistry profession with understanding of dental terminology, treatments and procedures is required.

Competencies: Excellent communication, interpersonal and customer service skills. Excellent speaking voice; proper grammar, diction, enunciation and tone. Excellent listening and organization skills; ability to multi-task. Ability to effectively communicate verbally and written within all levels.

Ability to work with others in a collaborative and professional manner; teamwork is essential. Ability to adapt to change and meet the unexpected needs and demands. Must be accountable, dependable, independent, motivated, punctual, reliable and flexible. Must exhibit excellent work ethics and maintain honesty and integrity.
