Position Summary

The US Payment Operations team is responsible for processing the accounts payable and cash management transactions for the Americas region. This position manages the day-to-day activities of the team responsible for deal, bank, tax and entity payments, and related supplier management tasks. The Payment Operations Administrator will also lead and execute cash management activities including the review and release of all payments, completing FX trades or cash redemptions via online banking portals, and confirmation of bank account balances. The ideal candidate has a strong operations background, proven track record for process improvement and has successfully led and developed junior team members. This candidate would also have a solid understanding of banking, Treasury and payment related functions, is detail-oriented with excellent organizational, communication, analytical and critical thinking skills. The candidate must be able to thrive in a fast paced, deadline driven and high volume environment and easily prioritize competing tasks for their work, and their direct/indirect reports while consistently producing quality results.

Key Duties/Responsibilities

Cash Management

  • Designated as the internal point of contact responsible for coordinating with Banking Operations, Technology teams and banking partners to ensure successful completion of payments, including the following tasks: providing advance notice for material payments, process amendments and wire recalls, monitor e-Serve/portal notifications, execute urgent money fund redemptions, respond to Positive Pay inquiries, and process stop payments for check transactions.
  • Manage transactions in the PeopleSoft Financial Gateway, review and confirm bank account balances prior to releasing internal cash structures, wire, ACHs and EFT payments and execute trade payments using bank portals.
  • Work directly with Fund Management and Partnership Accounting to review investor bank accounts instructions (Appian C2DS). Lead all wire investigations for failed investor payments and identify solutions to reduce wire failures.
  • Provide federal reference confirmations and MT103/MT199 details for deal related payments.
Supplier Management and Deal Payments
  • Lead end-to-end deal payment related activities from supplier management to payment confirmation following the release of wires.
  • Review and approve Staff's work for deal related supplier setup/modifications, verify the completeness and accuracy of supporting documentation, tax forms, wiring instructions, contact details and callback summary. Reviews require a strong understanding of bank account instructions (domestic and international) for further credit, intermediary or corresponding bank instructions, beneficiaries, IBANs and swift information.
  • Provide guidance to Staff when information is unclear, assisting with communication to suppliers or internal stakeholders; help request additional documentation or support.
  • Complete detailed reviews and approvals for deal and bank payments.
Other Responsibilities
  • Maintain SOP and SOX documentation, and training materials.
  • Develop, train and coach staff to ensure optimal performance and success across the team.
  • Continuous review of the processes and tools; recommend and implement changes to keep up with business and stakeholder needs.
  • Special projects as needed.


Qualifications

Education & Certificates
  • Bachelor's degree in Accounting preferred, along with relevant experience in related industry
Professional Experience
  • Minimum 4 years of experience in an Accounting, Banking or Deal Transaction environment, with supervisory experience preferred
Competencies & Attributes
  • Ability to manage a team in a fast paced, competing priority, high volume and deadline driven environment
  • Excellent communication, organization, time management skills, with a demonstrated track record in process improvement (idea generation and implementation)
  • Strong attention to detail
  • Proactive and able to independently anticipate issues and solve problems
  • Exceptional customer service, ability to provide accurate and timely support for internal and external stakeholders
  • Strong working knowledge of PeopleSoft, SAP Ariba and Microsoft Suite, preferred
  • Familiarity with bank portals to execute FX trades and wire transactions, preferred
