Responsibilities

This position will serve as a department representative responsible for the operations and coordination of all Human Resources related transactional functions for the Information Technology Services (ITS) departments: ITS, ERP, ITAPP, NWRDC, SDC, and FLVC.

  • Responsible for processing personnel transactions, including recruiting, hiring new employee onboarding and paperwork, I-9 submission, position description updates, and terminations.

  • Ensures policies and procedures related to human resource actions for the departments are in compliance with University, State, and Federal regulations and standards. Coordinates appropriate background checks, including special checks for Criminal Justice Information Services (CJIS) and Security Awareness TM Certifications. Maintains employee in-house personnel files, departmental job opening packets, and HR Department Records.

  • Serves as a resource providing guidance to ITS department hiring managers and employees regarding human resources policies and procedures, guides hiring managers through the recruiting process, and ensures the tracking system is up to date with the latest information.

  • With direction from the Office of Human Resources, counsels employees and management on HR issues, including FMLA and Worker's Compensation.

  • Monitors weekly time entry status and assists with the facilitation of corresponding employee/supervisor time entry, review, and approval process to ensure accuracy and compliance with university standards. Responsible for researching and initiating processes required to correct errors and ensure proper payroll payments.

  • Assists in managing the active appointment reports, cost center spreadsheets, and payroll cost center reports ensuring accurate and timely data. Prepares payroll certification report for management approval signatures.

Qualifications

High school diploma or equivalent and four years of work experience. (Note: post-high school education can substitute for experience at the equivalent rate.)

  • Ability to demonstrate effective customer service skills to interact with internal University partners and external job applicants.

  • Demonstrated strong communication skills, both verbal and written.

  • Experience establishing and maintaining effective working relationships.

  • Experience performing accurately in a detail-oriented environment.

  • Strong organizational skills and the ability to manage multiple work assignments simultaneously while prioritizing based on need.

  • Ability to maintain a tracking system and follow up on outstanding requests.
Preferred Qualifications

Preferred qualifications include:

  • Previous experience in human resource action transactions and/or processing.

  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.

  • Previous experience in a Florida State University OMNI system or Peoplesoft.
