Project Administrative Coordinator

An energy company in New Mexico is looking to bring on a Project Administrative Assistant to join their team! This is a fully in-office M-F role and pay is $32-38/hr depending on experience. This is a contract to hire position looking for someone who can start ASAP!

Responsibilities:

  • Scope of Work: Fully comprehend the construction Scope of Work, EPC contract, and associated Exhibits.
  • Quality Control: Plan and monitor project quality control documents, drawings, and reports.
  • Progress Tracking: Track construction progress and man-hour reporting.
  • Client Collaboration: Work directly with Owner representatives and the EPC contractor.
  • RFI/Transmittal Assistance: Assist the client with tracking and closing out RFIs and Transmittals.
  • Payment and Change Orders: Verify and track EPC Pay Applications and Change Orders.
  • Schedule Review: Review Project Schedules, making use of comparisons and tracking methods.
  • Job Books Preparation: Ensure job books are prepared according to contract requirements.
  • Reporting and Communication: Prepare reports, presentations, proposals, and correspondence as needed.
  • Issue Escalation: Elevate site issues or concerns to appropriate company or owner staff.
  • NCR and Quality Issues: Assist team members with closing and documenting NCRs and quality issues.
  • GIS Utilization: Use the GIS system to assist with observations, open observations, and tracking.
  • Team Management: Manage the Project Administrative Specialist onsite.
Requirements:
  • Construction Experience: Must have experience in construction, specifically with renewable energy projects and industrial settings.
  • Excel Proficiency: Must be highly proficient in Microsoft Excel.
  • Construction Terminology: Must have a thorough understanding of all construction-related terminology.
  • Document Management:
    • Experience with RFI (Requests for Information)
    • Experience with NCR (Non-Conformance Reports)
    • Experience with Pay Applications
    • Experience with Quality Document Control
  • Administrative Leadership: Will be responsible for leading administrative tasks and managing administrative functions.
