Responsible for answer phone calls from doctors' offices and patients to accurately schedule appropriate tests by obtaining demographic and medical information. Provides appropriate preparatory information, including the daily generation and distribution of confirmation letters. Runs schedules and logs to verify accuracy.

• Answers telephone in a professional manner, always handling patients, peers, physicians, supervisors, and department personnel in a respectful manner, calling customers back instead of keeping them on hold

• Answers phone calls from doctors' offices and patients, compiling appropriate information thoroughly, scheduling appropriate test per diagnosis and department schedules

• Enter faxed orders and call patients to schedule appropriate test per diagnosis and department schedules

• Assures diagnoses are appropriate for tests scheduled in the department

• Selects appropriate patient from master patient index, interfacing scheduling with registration

• Informs caller of visit time and registration requirements

• Provides procedure preparatory information including generating and distributing confirmation letters

• Rearranges and reschedules as needed

• Runs schedules and activity log to verify work and ensure accuracy

• Keeps current on schedule changes by utilizing the booking notes

• Participates in departmental meetings, in-services, and observes tests being performed in each department

• Responsible for other duties such as: filing and stocking supplies

• Understands the booking/scheduling functions as they relate to the overall functions of HSC, the operating room, PACU, etc.

• Does call backs for mammogram patients who need to come for a follow up

• Overrides "red" conflict times when appropriate and necessary

• With assistance from the Team Lead or Supervisor makes decisions for scheduling and placement of procedures in appropriate operating rooms, CVC, and specialty procedures according to established guidelines

• Other duties as assigned

Qualifications
Job Knowledge and Skills

• Knowledge of the special needs and behaviors of infant, child, adolescent, adult, and older adult patients required/preferred

• Excellent communication skills

• Typing and word processing at a 40 WPM minimum

• Professional demeanor required

Education

• Associate's Degree in a healthcare related field preferred

• Medical Assistant or Medical Secretary experience required

• Medical Terminology required

Experience

• 2 yrs. experience preferred

• Experience in diagnostic testing preferred
