Position Information: Description

This Student Records Specialist position will work as part of a team who are responsible for processing all student and program information from registration to completion in our credit and non-credit courses, sessions, events, and programs within the Office of Extended Learning.  This position will assist in providing customer service to students over the phone and by email, getting students enrolled into their courses, as well as processing extensions, exam requests, withdrawals, and refunds for our students. The Student Records Specialist team reports to the Associate Director of Extended Learning, are central to the processing of student records and communicating with students, and are critical in carrying out the mission and goals of each of the programs within Extended Learning.

Duties & Responsibilities
  • Process registrations for credit and non-credit courses and programs by auditing registration and course information in the OEL Enrole database.
  • Utilize PeopleSoft, Blackboard, TargetX, Perceptive Content, and Enrole to thoroughly and accurately complete the registration process.
  • Email confirmation letters to students as needed.
  • Generate invoices for students, and email or mail invoices to students and/or third party payers.
  • Work with OEL Finance Unit to appropriately process and record student and third party payments for registrations and course materials.
  • Complete the exam request process - approve proctors, record exam requests, email proctors, notify the student of any missing lessons, process exam retake requests, and email confirmation to the student.
  • Process course extensions, record appropriate payment information, update end date in Enrole and Blackboard, and email confirmation to the student.
  • Process course withdrawals and cancellation requests and record appropriate data and refund amounts in Enrole. Work with OEL Finance for payment refunds and documentation when necessary.
  • Pull Blackboard grade reports and enter lesson grades into Enrole as needed.
  • Answer OEL department phone line, providing guidance, answering inquiries, troubleshooting problems, and referring students to others as necessary.
  • Respond to student emails on a daily basis in the shared departmental email account.
  • Provide accurate information to students and others regarding OEL credit and non-credit courses and programs, including logistics and policies of each respective program.
  • Work with OEL program staff, faculty, and other appropriate campus support offices to problem-solve student questions and concerns.
  • Support the workplace culture of OEL by demonstrating the professional conduct and values expected of all employees.

Minimum Requirements
  • Highschool Diploma or GED and at least 4 years of administrative, office/clerical, and customer service experience, OR Associates degree and 2 years of administrative, office/clerical, and customer service experience.
  • Experience with Microsoft Office, Word and Excel, databases, email, and Internet.
  • Experience working with the public.
  • Successful completion of criminal history records check.

Minimum Hiring Salary/Position Classification

$36,000 - 38,000 / year; non-exempt; benefited; full-time

Work Schedule

Monday - Friday; 8am-4:30pm, on-campus
