Job Summary
The Veterinary Assistant assigned to Midwest Equine is responsible coordinating client communication and for providing support to Veterinarians and Certified Veterinary Technicians. This support includes but is not limited to scheduling, ongoing client communication, receiving and admitting patients/clients, maintaining accurate medical records, providing clerical assistance, supporting hospital staff, and providing a high level of customer service.

Duties & Responsibilities

  • Assists with skilled paramedical support, such as:
    a. Serving as first point of contact for clients requesting healthcare services.
    b. As directed, communicates with clients including taking histories and identifying the optimum care setting, i.e., farm call versus in-clinic visit.
    c. Assists with maintaining and updating records of patient examination, treatments, drugs administered, and client communications.
    d. Assists with entering changes in to the health information system
  • Greet clients, admit and discharge patients, and enter patient data.
    a. Assist client's in-person and over-the-phone in a prompt, friendly, caring, and helpful manner. Answer telephones and direct and/or answer client calls appropriately.
    Relay instructions or follow-up inquires by the veterinarian as requested.
    b. Assists with entering charges and collecting payment. Balance daily receipts at the end of day.
    c. Assists with maintaining the cleanliness of animal and work areas, instruments and equipment based on set infection control protocols.
  • Assists with patient medical records
    a. Assists with patient medical records. Prepares daily medical record forms in advance of patient arrival.
    b. As directed, secures history to inform veterinarian as to nature of patient complaint and presenting symptoms.
    c. Serves as liaison between client and clinical staff during the course of admission to the clinic.
    d. Assists with entering Enters veterinarian's coding information into clinical information system.
    e. Assists veterinarian and technical staff with follow-up related to laboratory results, transfer of medical records information, follow-up appointment, etc.
  • Perform other duties as requested.
Additional Physical Demands
An environment of stress may be anticipated. The person in this position must be capable of reliably functioning in such an area. The amount of physical exertion will vary with assignments. The handling of any animal presents some element of risk or injury. Some strength and considerable caution are required when working with animals during diagnostic or surgical procedures. To some degree, unpleasantness may be experienced under such conditions. This position entails operating equipment, administering medications, and restraining animals of various species for examination. Exposure to anesthetic agents may present a potential hazard. An ability to work in the presence of animal waste, fluids, syringes, needles, and medications that are potentially dangerous and must be used with care. Persons allergic to animal dander, dust, pollen, hay, etc., may experience discomfort in this position. Work involving animals with various disease states may expose the individual to viral, bacterial, and fungal agents known to be transmissible to man. Exposure to chemicals and anesthetic waste gases may be potentially hazardous if mishandled or misused.

Minimum Qualifications

Per SUCSS class spec High school diploma or equivalent.

Knowledge, Skills and Abilities
  • Working knowledge of professional business office protocol, clerical procedures, and medical office routines.
  • Strong customer service orientation and ability to work well with others, even in stressful situations.
  • Ability to quickly learn the Midwest Equine practice management software and accurately maintains medical records.
  • Working knowledge of medical and veterinary terminology.
  • Knowledge of operating computers, telephones, email, internet, fax and credit card verification system.
  • Able to observe, record, compile and assimilate data.
  • Able to multi-task, pay close attention to details and work calmly and professionally under pressure.
  • Intermediate arithmetic skills.
  • Possess knowledge of horses and ability to work around animals.
Appointment Information

This is a 100% full-time Civil Service 4079 - Veterinary Assistant position, appointed on a 12-month basis. The expected start date is as soon as possible after 7/1/2024. Salary starts at $16.29 per hour.
